Resources When Leaving WSU Employment

Human Resource Services (HRS) has compiled the following resources to assist Faculty and Staff who are separating from Washington State University.

Employee Departure Procedures

WSU faculty and staff will receive an invitation to complete an Exit Survey within one month following their separation date. Participation is voluntary and provides valuable feedback to help improve the employee experience at WSU.

We also encourage separating employees to review this Departure Checklist to ensure all responsibilities are completed and to support a smooth transition from WSU.

Final Payments Upon Separation

Final payment to a WSU employee upon separation includes any compensation owed, minus applicable deductions. The final payment process is initiated once the separation action and the employee’s final time or leave report have been submitted and approved in Workday.

Annual Leave Payout

If an employee’s appointment is eligible for annual leave payout, HRS will process the payment within 20 days of the separation date.

Sick Leave Payout

Sick leave is not eligible for payout unless the employee is retiring from WSU and meets the eligibility requirements.

Separating employees have several options for managing their retirement account(s) after leaving WSU. For detailed information, please visit the Retirement Plans section on the Benefits Information for Separating Employees webpage.

Upon separation from WSU, eligible appointments will be paid out for accrued annual leave and compensatory time, minus applicable deductions. Sick leave is not eligible for payout unless the employee is retiring from WSU and meets specific eligibility requirements.

Yes, staff and faculty who separate from WSU employment will retain access to their personal Workday employee account for up to two years.

Separated employees can continue to access their W-2 in Workday through their personal employee account for up to two years after leaving WSU. After that time, W-2s can be requested from WSU Payroll Services at payroll@wsu.edu.

Yes, all WSU separating employees are required to return any university-issued keys, ID cards, laptops, or other equipment prior to their last day of employment, or as otherwise directed by their supervisor.


Applications you submitted as an internal WSU employee will remain in the Workday system, even after your employment with WSU ends. You can continue to access your internal applications by logging into your Workday employee account, and the recruitment process will proceed as normal.

After separation, if you wish to apply for additional WSU positions, please do so through the external career site at WSU CAREERS by selecting ‘Prospective Employees.

Eligibility for unemployment benefits is determined solely by the Washington State Employment Security Department (ESD). WSU does not make decisions regarding unemployment eligibility but may be asked to provide information related to your separation.

If an employee has concerns about their separation from WSU, they are encouraged to contact their HR Service Team for guidance and support. They may also reach out to the WSU Ombuds Office for a confidential, impartial resource to help navigate workplace concerns.
