Resources When Leaving WSU Employment
Human Resource Services (HRS) has complied resources to assist Faculty and Staff who are leaving Washington State University employment.
Employee Departure Procedures
WSU faculty and staff will receive an invitation to complete an Exit Survey within one month following their separation date. Participation is voluntary and provides valuable feedback to help improve the employee experience at WSU.
We also encourage separating employees to review Departure Checklist to ensure all responsibilities are completed and to support a smooth transition from WSU.
Final Payment Upon Separation
Final payment to a WSU employee upon separation includes any compensation owed, minus applicable deductions. The final payment process is initiated once the separation action and the employee’s final time or leave report have been submitted and approved in Workday.

Leave Payout Upon Separation
Annual leave payout:
If an employee’s appointment is eligible for annual leave payout, HRS will process the payment after leave and time reports have been submitted by the department and audited.

Sick leave payout:
Sick leave is not eligible for payout unless the employee is retiring from WSU and meets the eligibility requirements.

Benefits Upon Separation
WSU health benefits will typically end on the last day of the month in which the separating employee’s appointment ends. Separating employees may be eligible to continue their coverage through COBRA.

What happens to my retirement plan(s)?

What happens to my accrued leave?
Upon separation from WSU, eligible appointments will be paid out for accrued annual leave and compensatory time, minus applicable deductions. Sick leave is not eligible for payout unless the employee is retiring from WSU and meets specific eligibility requirements.

Do I have access to Workday after separating?
Yes, staff and faculty who separate from WSU employment will retain access to their personal Workday employee account for up to two years.
How do I access my W2 after separating?
Separated employees can continue to access their W-2 in Workday through their personal employee account for up to two years after leaving WSU. After that time, W-2s can be requested from WSU Payroll Services at payroll@wsu.edu.
Do I need to return any university or organizational property?
Yes, all WSU separating employees are required to return any university-issued keys, ID cards, laptops, or other equipment prior to their last day of employment, or as otherwise directed by their supervisor.
What happens to my internal applications after I leave WSU?
Applications you submitted as an internal WSU employee will remain in the Workday system, even after your employment with WSU ends. You can continue to access your internal applications by logging into your Workday employee account, and the recruitment process will proceed as normal.
After separation, if you wish to apply for additional WSU positions, please do so through the external career site at WSU.EDU/CAREERS by selecting ‘Prospective Employees.’

Will I be eligible for unemployment benefits if my position is reduced or my employment with WSU ends?
Eligibility for unemployment benefits is determined solely by the Washington State Employment Security Department (ESD). WSU does not make decisions regarding unemployment eligibility but may be asked to provide information related to your separation.
Who do I talk to about concerns regarding my separation?
If an employee has concerns about their separation from WSU, they are encouraged to contact their HR Service Team for guidance and support. They may also reach out to the WSU Ombuds Office for a confidential, impartial resource to help navigate workplace concerns.
