Workday Touchpoints: Employee Persona Information, Workday, and WSU
In this Workday Touchpoint post, we’ll dive deeper into the types of Personal Information maintained in Workday, as well as how this data impacts WSU’s business operations, state and federal compliance, and strategic initiatives.
HRS No Longer Performing Time and Leave Audits
As of May 1, HRS is no longer performing full-scope time and leave audits for separated or terminated Civil Service and Administrative Professional staff, and Faculty.
Prior to the implementation of Workday, manual audits of time and leave for separated or terminated employees were conducted. These audits involved reviewing paper time and leave reports to ensure accurate payout of unused paid leave and to identify and correct any potential errors in time or leave reporting.
Since December 2020, WSU employees have been required to record time, leave, and absence within Workday. WSU continues to improve Workday processes to reduce and prevent the most common errors leading to incorrect leave balances, which may include incorrect accrual rates and proration, mathematical errors, and incorrect carryforward balances. As a result of Workday mitigating the risk of incorrect leave balances, HRS will no longer conduct full-scope leave audits for employees separating from the university.
The responsibility for accurate and complete time and leave reporting in Workday is shared among employees, supervisors, departments, and HRS. HRS will continue monitoring time and leave to identify and address system issues, and will conduct monthly reviews of certain time and leave activities to ensure accurate recording. Updated time and leave training will soon be available on-demand to ensure that employees and supervisors have the most current information.
